Privacy and Data Protection Policy

How Unovia Technologies Limited handles recruiter and candidate data when organisations use Vera for CV screening and first-stage interviews.

Last updated 1 July 2026

Who is responsible for the data

Unovia Technologies Limited (RC 8955644), with its registered office at 05 Agric Estate, Ilorin, Kwara State, Nigeria, operates Vera and processes personal data in line with the Nigeria Data Protection Act 2023.

For candidate hiring data, the organisation recruiting through Vera normally decides why and how the data is used and acts as the data controller. Unovia acts as its data processor. Unovia is an independent controller for Vera account administration, billing, product security, support and legal compliance.

Questions and data requests can be sent to admin@unovia.ai. Candidates may also contact the hiring organisation directly.

AI-assisted assessment and human oversight

Vera uses artificial intelligence to support CV screening and structured first-stage interviews. Its outputs may include a role-match analysis, evidence quotes, concerns and a hiring recommendation.

Vera does not make the final hiring decision. Hiring teams can review the CV, transcript, recording and report; override Vera's assessment; advance or reject a candidate; and apply their own lawful recruitment process.

Lawful basis and candidate notice

The hiring organisation is responsible for selecting and communicating the lawful basis for its recruitment processing. Depending on the circumstances, this may include steps requested before entering a contract, legitimate interests, consent or a legal obligation.

Before an interview begins, candidates are told that Vera is an AI-assisted interviewer and are shown relevant recording and privacy information. Camera use is optional unless the hiring organisation has clearly stated a lawful requirement and provided an appropriate alternative where necessary.

Retention and deletion

Interview camera and coding-round screen recordings are automatically removed after 30 days unless a shorter period is configured or deletion is requested earlier. Database pointers are cleared when the files are removed.

CVs, transcripts, reports, bookings and recruitment records remain available to the hiring organisation while its Vera workspace is active or until the organisation instructs Unovia to delete them, subject to legal retention requirements. Payment and audit records may be retained for the period required by law.

Organisations can request deletion of a candidate or recording. When an account or contract ends, Unovia will delete or return personal data according to the applicable agreement, except information that must legally be retained.

Security and access

Data is encrypted in transit and at rest. Recordings and CVs are stored in private storage rather than public links. Vera uses authenticated workspaces, role-based access, tenant separation, audit records and restricted administrative access.

No online system can guarantee absolute security. Unovia investigates suspected incidents and will notify affected customers and regulators where the law requires it.

Your rights

Subject to applicable law, individuals may request access, correction, deletion, restriction, objection, withdrawal of consent and data portability. Requests relating to a hiring process should normally be sent first to the hiring organisation. Requests may also be sent to admin@unovia.ai.

We aim to respond within 30 days. Individuals may lodge a complaint with the Nigeria Data Protection Commission.

Changes to this policy

We will update the date on this page when the policy changes. Customers will be notified where a change materially affects how recruitment data is processed.
